Privacy Policy

Sphericity Systems Pvt. Ltd. ("we", "us", "Sphericity") owns and operates the Dal Udyog platform — a mill operations management tool for dal and pulses mills in India. This policy explains what data we collect, how we use it, and your rights.

1. Data We Collect

When you use Dal Udyog, we collect:

  • Account information — owner name, email address, mobile number, and password (stored as a one-way BCrypt hash; we never store your plain-text password).
  • Mill/unit data — unit name, address, and operational configuration you enter.
  • Operational records — loading and unloading entries, stock, yield, expenses, and machine maintenance records you create.
  • Employee records — names, contact details, attendance, wages, and payments for staff and labour (hamali) workers that you enter about your own employees.
  • Operator accounts — name and email of sub-accounts (operators) you invite.
  • Usage logs — login history, failed login attempts, and key account actions, kept for security purposes.
2. How We Use Your Data
  • To provide and operate the Dal Udyog platform for you.
  • To send password reset and email verification messages.
  • To send subscription renewal reminders and service notices.
  • To detect and prevent fraud or unauthorised access.
  • To improve the platform based on aggregate, anonymous usage patterns.

We do not sell your data to third parties. We do not use your employees' personal data for any purpose beyond providing this service to you.

3. Data Storage & Security
  • All data is stored in a MongoDB database hosted in India.
  • Passwords are hashed using BCrypt. They are never stored in plain text.
  • Data is transmitted over HTTPS (TLS) at all times.
  • Access to your account data is controlled by role-based permissions (Owner / Operator).
  • We maintain audit logs of login activity and key account events.
4. Data Sharing

We share data only in these limited cases:

  • Email delivery — your email address is passed to our SMTP provider solely to send transactional emails (password reset, verification).
  • AI assistant (optional) — if you use the AI chat feature, your query text is sent to OpenAI. No employee names or financial figures are sent automatically. This feature is off by default.
  • Legal requirement — if required by Indian law or a court order.
5. Data Retention
  • Your data is retained for as long as your account is active.
  • If you close your account, we will delete your account and all associated data within 30 days of your request.
  • You may request deletion at any time by contacting us (see Section 8).
6. Your Rights Under the DPDP Act 2023

Under the Digital Personal Data Protection Act 2023 (India), you have the right to:

  • Access — request a summary of the personal data we hold about you.
  • Correction — ask us to correct inaccurate data.
  • Erasure — request deletion of your account and personal data.
  • Grievance redressal — raise a complaint with us; we will respond within 30 days.

As the mill owner, you are the Data Fiduciary for your employees' personal data (names, wages, attendance) that you enter into this platform. You are responsible for obtaining any consent required from your employees under applicable law.

7. Cookies & Sessions

We use a single session cookie to keep you logged in. This cookie is essential for the platform to function and is deleted when you log out. We do not use tracking, advertising, or analytics cookies.
